What do these colours mean?
CellsPer person, the impact this hour has on them, based on the hours they keep. Green = low impact, comfortably in their day; red = high impact, it would cost them sleep or their own time.

CellsPer person: whether you could reach them that hour. Green = free, amber = awake but outside their working hours, red = a hard conflict. Asleep and busy don't count as reachable. Sleep deepens in the small hours (deep sleep, 1–4am local); time off shows as a leave block, and the hours under it shade red.

Privacy & Visibility
Default Visibility
The starting choice for new events. You can change this on any single event.
Automation rules
Rules set or suggest a visibility for events that match, e.g. hide anything with "doctor" in the title, or mark imported calendar events as Busy. Busy and Private apply straight away; Shared is only suggested and waits for your confirmation.

What you're granting Google permission for
Read your free/busy times and event titles, to detect conflicts when scoring meeting times.
Read your Google Tasks (title and due date), to show them as to-do blocks on your timeline. Read-only: we never change your tasks.
Create events on your calendar when you confirm a winning vote or accept a meeting proposal.
Modify or delete events that you originally created through FairlyRemote.
We don't read event descriptions, attachments, or attendee responses. We don't modify or delete events you didn't create through FairlyRemote, and we never create, modify, or delete your Google Tasks. You can disconnect any time. Read more in our privacy policy.
Background sync
Pulls new Google Calendar events into FairlyRemote in the background. What flows into each group, and what teammates can see, is controlled by each group's privacy class.
Add new events to my Google Calendar
When on, events you create in FairlyRemote are also added to your own Google Calendar. Off by default, your events stay in FairlyRemote until you choose to export them.
Add my assigned shifts to this calendar
When on, shifts an admin assigns to you are added to your Google Calendar. Off by default. Bookings you confirm through a booking link are always added, so the time is held on your calendar.
What's in this calendar?
Choose Work and its events only show in your work groups. Choose Personal and they only show in your personal groups. Choose Both and every group sees them.

Apple iCloud Calendar
Not connected
How Apple Calendar connects:
iCloud asks for an app-specific password — a one-off code just for FairlyRemote, never the password you sign in to Apple with.
Your team sees your free/busy times, and titles only when you share an event. Notes and locations are never stored on our server — iCloud sends them with each event, and we discard them straight away. What we store, in full.
Your password is encrypted on our server and is never shared with anyone.
Disconnect any time. That deletes the password from our database. Apple has no way for us to revoke it for you, so also remove it at appleid.apple.com.
Open Sign-In and Security, then App-Specific Passwords.
Choose Generate an app-specific password.
Give it a label you'll recognise later — FairlyRemote works.
Copy the 16-character password Apple shows you, and paste it above.

ICS File / Calendar Feed
Works with any calendar that exports .ics
Import a one-time snapshot from any calendar (Fastmail, Proton, FullCalendar exports, Notion, Calendly availability, anything that produces an .ics file or webcal URL). Recurring events use their first occurrence; full RRULE expansion is handled when you connect Google/Outlook/Apple directly.
Upload an .ics file, or paste a public feed URL (webcal:// is accepted).

Outside someone's hours
How to read this
Outside hours
A meeting that started outside that person's own working hours, as set on their card. Very early or late means before 7 AM or from 9 PM their time.
Low · Modest · Notable · High
The share of meetings that landed outside someone's hours: none, fewer than 1 in 5, 1 to 2 in 5, 2 in 5 or more. Under 3 meetings a read stops at Modest.
Carrying more · Even · Has room
Against an even share of the group's outside-hours meetings: well above it (half as much again, and at least 2), around it, or none at all. Has room means a good pick for the next awkward slot.
Change
This period against the one before it, when your plan keeps both.
What is counted
Meetings recorded for this group. Sample data and imported estimates are left out. A planning aid for rotating inconvenient times, not a performance measure.
People
What to change
Worked out each day from the team's records. Dismiss one once you've acted on it.
Contribution alerts
Checked daily for the last full week. An alert names someone with more than 5 meetings outside their own working hours that week, and at least half as many again as the team's typical member. Admins get a daily email digest. Dismiss an alert once you've rebalanced.
Proposal outcomes
How proposed times went: how many were booked and how long votes took.
Audit trail
From To
Everything that changed in this group: members, events, settings, booking links and proposals. Votes stay anonymous, and an event's title shows only if it was shared in full.
Report delivery
The fairness report (PDF) is emailed to the team owner and to the admins you tick. It names people, so it only goes to owners and admins: to include someone from HR, make them an admin first.
How often
Departments
Import from CSV
Used in the HR CSV and the fairness report. A CSV needs a header row with email and department (job title optional); people are matched by email.
